Privacy Policy

This policy explains what data Recharge collects, why we collect it, and how it is protected. Recharge is an AI-powered annual leave planning and team coordination platform. Using the service means you agree to the practices described here.

Information we collect

  • Account details — name, email address, and authentication data, handled through our identity provider, Clerk.
  • Organization data — if you join or create a team workspace: org name, membership, roles, and invitations.
  • Leave data — holiday, sick, TOIL, and unpaid leave you record, including dates, notes, allowance, work pattern, and approval status.
  • Integration data — when you connect Google Calendar, Outlook, Slack, Discord, Microsoft Teams, Notion, or a webhook, we store the minimum needed to sync approved leave and send notifications (for example, OAuth tokens and calendar event IDs).
  • Billing data — subscription and payment details are processed by Stripe via Clerk Billing. We do not store full card numbers.
  • Usage & device data — basic product analytics, push notification tokens, and offline data cached on your device for the installable app.

How we use it

We use your data to run the core product: track allowance, generate AI leave suggestions, check team coverage, send reminders and digests, sync approved leave to connected calendars and chat tools, and process billing. We also use aggregated, de-identified usage data to improve the product.

How the AI works with your data

AI suggestions are generated from structured context — your remaining allowance, work pattern, public holidays, and, in a team workspace, coverage signals from other members’ approved leave. The AI does not receive a full mirror of your personal or connected calendars, only the fields needed to reason about leave and coverage.

Who we share data with

We do not sell your data. We share it only as needed to run the service:

  • Infrastructure and hosting providers that run our servers and databases.
  • Clerk, for authentication, organizations, and billing.
  • Stripe, for payment processing.
  • Integrations you explicitly connect (Google, Microsoft, Slack, Discord, Notion, or a custom webhook) — only for the workspace or account where you enabled them.
  • Service providers who help with email delivery and push notifications.

Within a team workspace, your leave requests and approval status are visible to your organization’s admins and, where relevant, teammates on the shared calendar. Personal accounts are never visible to an organization unless you join one.

Data security

Data is encrypted in transit (TLS) and at rest. Organization data is scoped so one workspace cannot access another’s records. Integration credentials are encrypted and used only for the connections you authorize. See our Security & GDPR page for more detail.

Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to certain processing. You can update most of your data directly in the app, or contact us to make a request. If you are in the UK or EU, these rights are provided under UK/EU data protection law; other regions may have equivalent rights under local law.

Data retention

We keep account and leave data while your account or organisation workspace is active. After you delete your account (or after an organisation ends and deletion is requested), we delete or anonymise personal data within 30 days, except where we must retain records longer for legal, tax, or accounting obligations (for example billing records). International transfers

Recharge is built for teams across the UK, EU, US, and beyond. Your data may be processed in a different country from where you are based; where required, we rely on appropriate safeguards for those transfers.

Children

Recharge is a workplace leave-management tool and is not directed at, or knowingly used by, children under 16.

Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected by updating the date above, and where appropriate, we’ll notify you in the app.
